QUALIFICATIONS

Elma Farms, a fast-growing and innovative food export company, is seeking an energetic and hardworking
Foreign Trade Operations Administrative Affairs Specialist to handle its export operations, and day-to-day administrative activities.

  • Candidates with prior experience in exporting food will be highly preferred.
  • Proficiency in English is a must.
  • Experience in operations in/out of the Aegean Free Zone
  • Bachelor’s Degree in International Relations, International Trade and Finance, Foreign Trade, Business Administration, or equivalent business experience.
  • Minimum 1 year of experience in a related position.
  • Proficient in MS Office programs, advanced Excel skills.
  • Strong analytical thinking, relationship management, follow-up and organization skills.
  • Demonstrated ability to manage multiple tasks and be flexible with changing priorities. 
  • Ability to perform well under stress.
  • A high degree of attention to detail; comfortable in a team environment.
  • No military obligation for male candidates.

RESPONSIBILITIES:

Responsibilities include but are not limited to:

  • Schedule and coordinate Export, Import and Transit Trade Operations.
  • Prepare all the necessary documents required for carrying out export and transit trade operations and ensure whether the rules and regulations are met by maintaining the information about licenses, tariffs, vat etc.
  • Plan, organize and manage the transport process from suppliers to destinations via ocean/road/air and ensure freight transactions are selected based on company objectives for cost and delivery.
  • Manage customs clearance of goods for import & export in cooperation with customs broker(s).
  • Maintain the shipping records, including providing tracking or shipping history information on request. Prepare weekly and monthly reports to the management.
  • Coordinate with production team and suppliers to ensure shipments are consistent with customer requirements, to support the timely delivery and to communicate to the customers regarding order requests.
  • Solving effectively problems and managing risk to ensure achievement of targets.
  • Provide day-to-day customer service to prospective and current export customers. Prepare pricing, product and logistic information, sample packages, and other related information and communicate to customers.
  • Organize, coordinate, and follow up sample shipments to other offices and customers.
  • Prepare and follow-up all government grants, incentives, and manage all applications.
  • Plan, prepare all trade show materials including samples and organize timely delivery to the booth.
  • Attend trade shows and provide support if/when requested by the management.
  • Develop and maintain positive relationships with existing clients and distributors.
  • Support the management in daily administrative duties, and support the outside accounting team when needed.
  • Collaborate with the finance department to coordinate payment issues.
  • Work as Admin Affairs Specialist,
  • Prepare and provide the necessary monthly & weekly reports in his/her area of responsibility.
